Application Overview

eIRB is the electronic IRB study submission and tracking application developed by the Huron Consulting Group to assist the IRB office and faculty investigators in their human subject research.

On February 12, 2020, the old eIRB system (aka RX) was replaced with a new system from Huron (SaaS (Software as a Service)). Information on the process can be found here eIRB Project Huron SAAS.

Important Notes

Visit the eIRB web address, then enter your network user id and password to access the eIRB website. Users can use either their University or Healthcare credentials to log into eIRB.

Troubleshooting/FAQS

If you try to add a person to a study in eIRB and cannot find them, there are 3 typical causes:

Cause 1: You cannot find them using the search field.

Solution: Use these 6 methods:

  • Enter at least 3 letters of their last name and see if their name appears in the search.
  • Try last name, first initial e.g. Johnson, Z
  • If that does not work, try entering their first name and first initial of their last name.
  • Use a search wildcard (% - percent symbol). This wildcard can be placed in front or back of the search term. E.g. John% finds last name John, Johns, Johnson, Johnston; %will finds MacWilliams, McWilliams, etc.
  • The last option is to use the ellipse (...) button to the right of the search field to perform a search by last name, first name, or organization (you can use the wildcard here e.g. %SOM).
  • If none of these work, proceed to cause #2.

Cause 2: The person, most likely, has never logged into eIRB, therefore they do not have an account.

Solution: Ask the person to log into eIRB using his or her University or EHC credentials (IRB website > eIRB Submit Studies for Review > New Users - New eIRB).

Cause 3: If the person has tried to log into eIRB and gets an error message, it is possible that the persons account may be disabled in eIACUC (master store for user data in Emory's Huron systems).

Solution: Contact the IRB office for assistance. They will perform a search for the person. If the IRB cannot find them, the IRB will submit a ServiceNow ticket on your behalf.

If you try to add a funding source (sponsor) to a study in eIRB and cannot find them, there are 2 typical causes:

Cause 1: You cannot find them using the search field.

Solution: Use these 5 methods:

  • Enter the first 2 letters of the name of the funding source and see if their name appears in the search.
  • Try the first 3 letters of the name of the funding source.
  • If the funding source ends in Inc, LLC, or Pharmaceuticals, try searching using a wildcard such as %Inc.
  • The last option is to use the ellipse (...) button to the right of the search field to perform a search by the name of the funding source (you can use the wildcard here e.g. %pharma or Abbott%).
  • If none of these work, proceed to cause #2.

Cause 2: The funding source is not included in the list of sponsors in eIACUC/eIRB.

Solution: Contact the IRB office for assistance. They will perform a search for the funding source in eIRB. If the IRB cannot find the funding source in eIRB, the IRB will contact ORA-IT to request that the funding source be added into eIACUC/eIRB.

If you try to add an external IRB to a study in eIRB and cannot find them, there are 2 typical causes:

Cause 1: You cannot find them using the search field.

Solution: Use these 5 methods:

  • Enter the first 2 letters of the name of the external IRB and see if their name appears in the search.
  • Try the first 3 letters of the name of the external IRB.
  • In the search field, try using the wildcard (% - percent symbol). E.g. Univ% or %University; %Foundation; %IRB; NIH%; Food% (for FDA), etc.
  • The last option is to use the ellipse (...) button to the right of the search field to perform a search by the name of the funding source (you can use the wildcard here e.g. %university or Children's%).
  • If none of these work, proceed to cause #2.

Cause 2: The external IRB is not included in the list of organizations in eIACUC/eIRB.

Solution: Contact the IRB office for assistance. They will perform a search for the external IRB in eIRB. If the IRB cannot find the external IRB in eIRB, the IRB will contact ORA-IT to request that the external IRB be added into eIACUC/eIRB. Then the IRB itself will add the new external IRB into the Institutional Profile in eIRB.
